I’ve spent 15 years as a Technical Program Manager. If I hadn’t built a system to absorb those “search engine” requests, year three would’ve ended me.

Lately, I’ve been leveraging AI to help us out. I call it the AAA Framework: Agent, Automation, Analysis.

Agent: The High-Authority Bridge

An agent is any system that acts on your behalf. Today, that’s usually AI, but it’s not about “using ChatGPT.” It’s about delegating your decision-logic.

When someone hits a friction point, they don’t just need an answer. They need a path.

I use a prompt for messy workplace loops. Instead of spending 30 minutes drafting a careful email to a difficult stakeholder, I use an AI agent to help me differentiate the process failure from the personality conflict. Fast, clean, no collateral damage.

If you’re not using an agent to protect your composure, you’re spending your own willpower. And willpower isn’t a renewable resource.

Automation: The Single Source of Truth

Automation isn’t code. It’s infrastructure. If you’ve answered the same question three times, you don’t have a communication problem. You have an architectural gap.

I built a Family Information Hub to automate the domestic answers: passwords, emergency protocols, maintenance logs, key logistics. When the information lives in the hub, you buy back your presence.

At work, this looks like grounding your AI tools in your project site so the team asks the agent for a status update instead of asking you.

Analysis: The Margin Audit

You can’t automate what you haven’t audited. Most leaders feel busy but can’t tell you where the time actually went. That’s a Capacity Leak.

I run a Knolling Ritual, borrowed from artist Tom Sachs’ studio practice, to find the friction: * What did I avoid? * What did people ask me repeatedly? * Where did the shadow meeting happen?

Analysis turns your procrastination into a diagnostic signal. If you’re avoiding a task, the system is broken. Fix the system rather than gritting your teeth and pushing harder.
